Contact us today - we're waiting to hear from you! Job Responsibilities As a Operations/Sales Assistant you will provide administrative support to the hotel and be the liaison between the Sales and Events Office and the hotel Operations Team Your specific duties in this role will include:
Serve as a point-of-contact for guests organizing and attending meeting events at property Act as a liaison between the hotel and sales to ensure successful events.
Assist Sales Managers on area blitzes and client visits as needed.
Perform various administrative tasks, i.
e.
set up house accounts and billing information.
Prepare internal and external correspondence, i.
e.
, contracts, proposals, group resumes, and event orders.
Maintain current and accurate files, i.
e.
client files.
Answer all incoming phone calls in a friendly, courteous and timely manner using the appropriate greeting.
Distribute reports and information from the Sales & Events office to the property Management team, i.
e.
meeting room functions, events.
Respond to customer inquiries in a timely fashion as needed.
Make individual guest reservations as needed.
Assist with Direct Bill accounts invoicing and payment processing.
Maintain and order appropriate level of sales collateral.
Receive group room gift bags for distribution at the Front Desk Assist in other hotel departments as needed; i.
e.
Front Desk, Bar Maintain a thorough knowledge of hotel staff, room locations, room rates, hours of operation, amenities and selling strategies.
Assist with communication with the hotel operations team and Managers to ensure a seamless guest experience.
Ensure basic knowledge of hotel departments and purpose in fulfilling guests' needs.
Assist in all aspects of hotel events to include day to day coordination, i.
e.
number of persons expected, display space desired, and food service schedule with the appropriate management and staff.
During events ensure arrangements are to guest specifications and to ensure satisfaction Utilize software system for generation of necessary documents and changes as needed.
Ensure detailed knowledge of the hotel meeting space, group dynamics and event details.
Attend Banquet Event Order meetings and resume meetings as needed Recommend special outside services to guests when required.
Ensure the proper set-up, break down and safe storage of all dining tables, service stations and bars.
Ensure banquet rooms are set up according to event order and desires of group.
Ensure proper tabulation of banquet checks and that checks are reviewed with guests.
Ensure food quality and service standards are being maintained.
Ensure food sanitation and proper food handling standards are being followed Manage and assist all aspects of hotel events to include day to day coordination.
During meetings ensure arrangements are to guest specifications and to ensure satisfaction Prepare internal and external correspondence; Special projects as assigned.
Assist with monthly inventory of front desk/bar, kitchen and Up/Down Assist in maintaining the cleanliness of hotel.
Job Requirements We are looking for a self-motivated Operations/Sales Assistant with a strong work ethic and a drive to exceed expectations.
They should be passionate about the guest service experience, but also have an eye for detail.
It is also important that you have excellent communication, interpersonal and presentation skills as well as the ability to establish rapport with guests and colleagues.
Specific qualifications for the role include:
6 months to 1 year related experience Associate's degree (A.
A.
